Short, practical answers on writing clearly and keeping your text private. A new post every few days.

How do you proofread your own writing?
Proofread in separate passes, each looking for one kind of problem, and change how the text looks before the last pass so you stop reading what you meant to write. Four short passes take a few minutes for an email and catch far more than one slow, careful read.

What happens to your text when you use an online grammar checker?
A grammar checker that runs in the cloud sends what you type to the provider's servers, checks it there and sends the suggestions back. What happens to that copy afterwards is decided by the provider's policy. A checker that runs on your device never makes the trip.
-
How do you check grammar in two languages in one message?
Use a checker that recognizes the language of every sentence instead of the whole text. Private Writing Assistant does this for 101 languages, so an email that switches from English to Spanish has each part checked by the rules of its own language.
-
How long should a sentence be?
Long enough for one idea, and no longer. There is no ideal word count, because languages build sentences differently, but a sentence that carries two or three ideas is almost always easier to read as two or three sentences.
-
What does “on-device AI” actually mean?
On-device AI means the AI model runs on your own computer or phone instead of on a company's servers. What you type is processed where you typed it, so it doesn't have to be sent anywhere, and the feature keeps working without an internet connection.
-
How do you write an email that gets a reply?
Put your request in the first two lines, ask for one thing, and say by when. A subject line that names the request and a body short enough to read on a phone do the rest.
-
How do you make a message sound more professional without changing what it says?
Keep the facts and the request, and change only the wording: drop slang and filler, replace vague words with specific ones, and state the request politely but directly. In Private Writing Assistant, select the text, press Rewrite and choose Professional to get a version to compare with yours.
-
Is it safe to paste confidential text into an AI tool?
It depends on three things about the tool, where it processes your text, whether it keeps it and whether it uses it for training, and on your organization's rules. If you can't confirm all of them, treat the text as shared. A tool that runs on your device takes the first three questions off the table.
-
Why can't you see the mistakes in your own writing?
Because you read what you meant to write, not what's on the page. Your knowledge of the text fills in missing words and smooths over typos before you notice them. To catch them, make the text unfamiliar: wait, change how it looks, or read it in a different order.

Does a grammar checker work offline?
A grammar checker that runs in the cloud needs an internet connection for every check, because each one is a request to a server. One that runs on your device keeps working offline. Private Writing Assistant is the second kind: once Chrome has downloaded its built-in model, checking and rewriting work without a connection.
