How do you make a message sound more professional without changing what it says?

Keep the facts and the request, and change only the wording: drop slang and filler, replace vague words with specific ones, and state the request politely but directly. In Private Writing Assistant, select the text, press Rewrite and choose Professional to get a version to compare with yours.

What “professional” means

Professional doesn't mean long, stiff or full of formal phrases. It means the reader can take your message seriously without having to work for it: clear facts, a clear request, a respectful tone, and nothing that distracts, such as slang, a joke that may not land, a string of exclamation marks or an apology longer than the news.

One message, two tones

Here's a message as it often comes out when you're in a hurry, and a professional version of it:

Before

hey, sorry this is late again!! the client changed stuff last minute so the deck isn't done, will get it to you asap

After

Hi Maria, the deck will be later than planned because the client changed the brief at the last minute. I'll send it as soon as it's ready and let you know if that will be after tomorrow.

Look at what stayed: the deck is late, the client caused it, it will come as soon as possible. Look at what changed: a greeting, full sentences, one apology replaced by a reason, and a promise to update instead of a vague “asap”.

A friendly version would sit between the two: “Hi Maria, sorry, the deck's running late! The client changed the brief at the last minute. I'll send it as soon as I can.” Neither tone is better. The right one depends on who's reading.

A rewrite can't add facts you didn't give it

Notice that neither version says “by 3 pm”. The original didn't know when the deck would be ready, so an honest rewrite can't know either. If you want a firmer message, add the fact yourself: “I'll send it by 3 pm tomorrow.” That one detail does more for a professional tone than any choice of words.

How Rewrite works

Select a sentence or a paragraph in almost any text box, press Rewrite and pick a style. There are eight: Improve, Fluent, Professional, Friendly, Academic, Simpler, Shorter and Expand. The changes are highlighted, so you can see exactly what moved.

Then replace your text in one click (and undo it if you change your mind), copy the new version, or try again for a different wording. Rewrites stay in the language you wrote in. Rewrite works everywhere the extension checks text, except Google Slides.

Read the changes before you replace

You're the author. A rewrite is a draft to choose from, not a verdict.

Private, even for difficult messages

The messages people most want to get right are often the sensitive ones: about a client, a delay, a colleague. Rewrite runs on your computer with Chrome Built-in AI, so the text you rewrite is never sent to us or to an AI service.

Add Private Writing Assistant to Chrome to rewrite any message in eight styles, in the language you wrote it in. It's free and needs no account.
